Why is the convention named ClexaCon?

ClexaCon is named after two iconic LGBTQ characters, Clarke and Lexa from the CW’s The 100. The storyline inspired fans to push for positive representation in the media and raised over $160K for The Trevor Project, a nonprofit organization supporting LGBTQ youth. While Clexa serves as the inspiration behind ClexaCon, we are a multi-fandom event celebrating many ships, past and present, throughout TV and film.

I’m not a LGBTQ woman, can I still attend?

Everyone is welcome!​ You do not have to identify as LGBTQ or even as a woman. Anyone and everyone should attend ClexaCon!

I can’t attend the convention. Will there be live-streaming?

We will not be offering an official live-stream of the event; however, we will upload official video of the panels to our YouTube channel. Be sure to follow our channel for behind the scenes footage as well as official footage.

I won’t be able to attend but would like to support the convention, what can I do?

Thank you for all of the support you have given us. Please continue to spread the word about ClexaCon. We offer official merchandise on our website for those who will not be able to attend but would still like a memento from the event. If you would like to support the convention in other ways, please consider becoming a donor or volunteering your time and skills. ClexaCon is a large event run by a small and dedicated team. We appreciate all of the support you can offer!

Do you have a room block?

In fact, we do! You can book directly through our host hotel, The Tropicana. Using this portal, you will receive our special group rate discount plus you’ll save nearly $25 on the nightly resort fee, making it the most economical option.

Will there be gender-neutral bathrooms?

Yes, there will be a bathroom designated as gender-neutral.

Will there be security?

ClexaCon will provide security guards and take all precautionary measures to ensure the safety of all attendees.  This will include bag and ID checks and tagging of any cosplay weapons.  We strongly discourage bringing any over-sized bags or duffles as they will be searched each time you come through the doors.

Can I attend ClexaCon if I am under the age of 18?

Yes. However, you will have to have someone purchase your ticket for you. Please note that ClexaCon recommends all individuals under the age of 18 attend with an adult; everyone under 13 MUST be accompanied by an adult while at the convention. Children aged 12 and under do not need a ticket to attend ClexaCon.

Can I volunteer to work for ClexaCon?

Yes! You can get information about opportunities and apply for volunteer positions here. We are looking for volunteers during the convention as well as for the lead-up to the event.

For ClexaCon 2019, volunteers who work at least four (4) hours on a single day will receive a free standard day pass for that day so you can stay and enjoy the convention. If you work eight (8) or more hours in one day you will receive a free standard day pass to another day of the convention. Volunteers will be required to sign in and out to verify hours.

When purchasing your tickets to ClexaCon 2019 please remember that:

  • You must complete at least four (4) hours to receive a day pass and you will need to sign in and out
  • Purchased tickets are non-refundable. If you purchase a ticket and then decide to volunteer we cannot refund your ticket. You can however transfer any purchased tickets if you decide to volunteer at a later date
  • Free day passes are for entry to the convention only and do not include any VIP perks

Does ClexaCon have an anti-harassment policy?

YES. ClexaCon is committed to providing a safe and fun experience for all attendees, exhibitors, guests, and staff. As such, all are entitled to respectful treatment at our convention and associated events. ClexaCon will NOT tolerate inappropriate behavior of any kind, including but not limited to harassment because of age, disability, marital status, race or color, national origin, religion, sex, sexual orientation, or gender identity.

Any threatening behavior toward guests, staff, volunteers or attendees with the intent to harass, annoy, alarm, abuse, torment, or embarrass another is unacceptable and grounds for removal from the convention without refund. If unacceptable behavior continues local authorities will be contacted and criminal charges may follow.

Any behavior that violates this policy during the lead-up to the convention, whether in person or online, will also be considered grounds for being barred from attending the convention. Tickets will not be refunded if voided for this reason.

Anyone who sees or feels that their experience is being compromised due to unacceptable or questionable behavior is encouraged to speak with ClexaCon staff immediately with any concerns for appropriate action. ClexaCon staff can be located in the registration area and throughout the show floor in shirts marked STAFF or by email at [email protected].

Are there rules or restrictions for the convention?

Yes, please note the following:

  • Badges must be worn at all times and must be presented upon request by ClexaCon staff or security
  • Bags and backpacks are allowed, but will be subject to search
  • No pets allowed except for service animals
  • No smoking, including traditional cigarettes, pipes, cigars, e-­cigarettes and vaping products
  • Over-sized strollers, rolling luggage, hand trolleys, and carts are prohibited for safety reasons
  • Photography is prohibited (Tripods are prohibited at the event at all times) during autograph sessions, photo-op sessions, meet & greets and Cocktails for Change
  • Vending is prohibited unless you are a registered vendor or exhibitor
  • Since the venue where ClexaCon will be held is private property, soliciting at the convention without permission is illegal and doing so will result in being asked to leave
  • ClexaCon will not be responsible for lost, stolen, or damaged property, or for injuries sustained during the course of the convention
  • Excessive or underage alcohol use, drug use, harassment, the carrying of firearms or any other illegal activity will result in being asked to leave ClexaCon and face possible arrest
  • Harassing or offensive behavior will not be tolerated and will be grounds for immediate removal from the convention without refund. Please report such behavior to ClexaCon staff or security immediately

Can I bring food and drink in to the venue?

Food and drinks for your own personal consumption will be permitted inside the venue. Refillable water bottles are encouraged, as we will have water stations available around the convention floor. Please refrain from bringing in large amounts of food into venue.

Do I need to bring a photo ID?

Yes! There will be bars on the convention floor. IDs will be checked at the bars as well as at all events that serve alcohol.

Is there a lost and found at the convention?

Please see the registration desk for lost and found.  You can find first-aid here as well.

How do I buy things at the convention? Do vendors only take cash or can I pay with a credit card?

All exhibitors take cash. Credit card payments will be accepted depending on the exhibitor. Be sure to ask what forms of payment they accept before agreeing to any purchases.

Are fans allowed to wear costumes at the convention?

Absolutely. In fact, it is encouraged!

Can I re-enter the convention if I leave?

Yes you can. Please keep in mind that for capacity reasons, the Fire Marshal might institute a ‘one in, one out’ policy. If certain areas of the convention are deemed too crowded by the Fire Marshal, you may have to wait to re-enter.

I am a member of the press. How can I receive a press pass?

Press applications will open January 1, 2019. Please check back for the application.


Should I purchase a three-day pass or single-day passes?

If you plan to attend the entire convention, purchasing a three-day pass will save you a good chunk of money.

Do you expect ClexaCon tickets to sell out?

All VIP tickets for ClexaCon 2018 sold out in under three minutes, so if you’re looking for those perks we suggest you plan to buy tickets as soon as they go on sale. Purchasing your tickets in advance will secure your place at the convention.

Are tickets transferable?

Yes. You may sell your ticket or purchase it from a third party. Be advised, this is done at your own risk and ClexaCon is not responsible if you purchase a counterfeit ticket or one that has already been scanned. The safest option is to transfer tickets through Eventbrite.

Do you offer refunds?

All ticket sales are final. There are no refunds. Tickets can however be transferred to other people.

Can I buy admission at the door or do I have to buy them in advance?

If the event does not sell out online you will be able to purchase tickets at the door.

Where can I pick up my badge?

Anyone who has been to a convention probably has horror stories about badge pick-up lines that usually involve hours of stress, boredom and more boredom.  At ClexaCon, we like to do things a little differently. Attendees are invited to join us at our official badge pickup party where you can not only get your all-important convention badge, but have a few drinks, meet old friends, new friends and friends you haven’t met yet. Don’t worry, if you miss the badge pick-up party, you can still pick up your badge at the convention registration desk.

If I lose my badge at the con, can I get a replacement?

Unfortunately, we do not have enough to give out replacements. Please keep it safe!

What does a VIP package get me?

All Standard VIP packages include:

  • Admission to ClexaCon for Friday, Saturday & Sunday
  • Admission to all general panels, artist alley, and exhibition area
  • Entrance to ClexaCon Film Festival
  • ClexaCon badge & lanyard

What does a Heda VIP Pass get me?

All Heda Packages include everything in the standard VIP pass plus the following:

  • Reserved seating in second row center or front row sides at main panel – must arrive at least 5 minutes before start of each panel or seats will be reallocated for that panel (no reserved seating at smaller panels)
  • Entrance to Ascension: The Official After Party
  • General admission to Ships & Giggles: Comedy Night

What does a Lextra VIP Pass get me?

All Lextra Packages include everything in the standard VIP pass plus the following:

  • Entrance to Ascension: The Official After Party

When will doors open/close?

The convention floor will open at 10:00 a.m. on Friday and Saturday, 11:00 a.m. on Sunday. VIP ticket holders will have early-access at 9:30 a.m. on Friday and Saturday, 10:30 a.m. on Sunday.  Doors will close at 7 p.m. on Friday and Saturday, 5 p.m. on Sunday. All times are subject to change.

Is the convention really a five-day event this year?

The actual convention and programming will take place from April 11th-15th, 2019. However, we recognize that ClexaCon is a community and we want to provide you with the chance to come together one day before the convention and one day after.

Convention events will kick off on Thursday, April 11th with various afternoon activities as well as the evening badge pick-up party. Official programming will run Friday through Sunday. On Monday, we’ll have some low-key events and opportunities to enjoy Las Vegas and spend more time with the amazing people you met over the weekend. If you’re only interested in seeing celebrities, you can plan for Friday through Sunday. If you’d like to spend more time surrounded by the amazing community of ClexaCon then plan to join us for all five days!

What events are happening on Thursday?

Last year, Thursday kicked off with a wildly popular Speed Friending event, followed by a Pool Takeover and the day ended with a Badge Pick-up Party. Events for 2019 have not been confirmed yet, but you can bet you’ll have an amazing time! Be on the lookout for announcements!

What events are happening on Monday?

Avoid being thrown back into the real world for one more day! We plan on taking it easy Monday. Join us for a farewell breakfast overlooking the pool, hiking or join a group for some sightseeing. If you’re too tired for any of that, we’ll be doing a takeover of the pool to unwind from the weekend. It’s a great opportunity to relax and enjoy the company of some amazing people from around the world for one more day.

Will there be panels at ClexaCon?

Absolutely, what is a convention without panels?! We will have LGBTQ-related panels, along with featured panels for specific television shows, movies, etc. See the 2018 panels and workshops page to get an idea of what to expect.

Is there an extra charge to attend a panel?

No. Your admission ticket gives you access to all panels. However, seats are limited so please plan ahead.

Will there be a costume/cosplay contest?

Yes! There might also be a special guest judge.

Are there costume rules or guidelines?

All costume weapons must conform to state and federal law and will be inspected, approved and tagged by ClexaCon staff or security. NO real weapons will be allowed. This includes swords, knives, etc. Airsoft guns are not allowed at ClexaCon in any capacity. Non-working prop guns will be allowed, but must contain an orange tip. No parts of your costume can fire, spray, shoot, or ignite. Costume swords must be wooden or plastic. Bows must be toy, wooden or plastic. Arrows must not be able to be drawn from their quiver. If you are asked to leave the convention because your costume is dangerous or offensive, your ticket will not be refunded.

Autographs and Photo Ops

How can I get an autograph?

Autograph tickets will be made available on our website prior to the convention. You will need to show your ticket confirmation at the time of the autograph signing, so please print and bring your confirmation code. You can also purchase autographs at the convention if they don’t sell out online.

How can I get a photo-op?

Photo op tickets will be made available on the website prior to convention date. You will need to show your ticket confirmation at the time of the photo op, please print and bring your confirmation code.

How much are autographs and photo-ops?

Prices of autographs and photo-ops will vary depending on the guest. The price list will be available prior to the convention.

If I buy tickets for autographs or photo ops in advance, do I still have to buy admission to the convention?

Yes. You must have a ticket/badge to gain entrance to the convention to obtain your photo-ops and/or autographs.

Will there be separate lines for VIP and general admission guests?

Separate VIP & general admission lines will be designated for badge pick-ups, autographs, photo-ops, and panels/workshops.  Please direct your attention to the signage on the convention floor – they will direct you to the correct lines.

Will (celebrity) be there all days?

Dates of celebrity appearances will be displayed on our website so people can plan.  However, please be aware that all guest appearances are subject to change.

Panel Information

Can I host my own panel?

Possibly! Panel submissions open date TBD.

If I am a panelist, do I get free entry?

For ClexaCon 2019, all accepted panelists will receive a free speaker pass, which will allow you entrance to all 3-days of programming, the Film Festival, Ascension: The Official After Party and Ships & Giggles: a comedy night. When purchasing your tickets to ClexaCon 2019 please remember that:

  • Purchased tickets are non-refundable. If you purchase a ticket and then are accepted as a panelist, we cannot refund your ticket. You can however transfer any purchased tickets to a friend or family member.
  • Speaker passes do not include any VIP perks.

Do I have to leave the room after each panel?

The main panel room will be cleared out between panels. The smaller panel rooms will not be cleared between regular panels but will be cleared before a ticketed event such as the Emily Andras writers’ workshop.

When can I start lining up for the next panel?

Attendees will be allowed to line up for panels as soon as the previous panel ends (half an hour or an hour before each panel – please check the schedule).

Will there be a separate line for VIP holders?

Yes. Signs will direct you to the correct line.

What are the capacities for the panel rooms? If they are full, will there be standing room only areas?

The capacities vary in each room. If seats are full, we will offer standing room.

Will there be accommodations for those who are hard of hearing or require ASL interpreters?

Is there specified seating for people with physical disabilities?

Please see the “Disability Assistance” section.

Will there be a seating area for VIP badge holders?

VIP badge holders will have priority access to seating in the main panel room before general admission badge holders. Seating will be first come, first served for VIP badge holders. There is no VIP seating reserved in the smaller panel rooms.

Are you inviting (celebrity) to ClexaCon?

We are currently working with a number of agents and representatives to bring various guests to ClexaCon. Please note that this process is vigorous, extensive, and can take weeks or even months to arrange.

Can I suggest (celebrity) as a possible guest?

Yes, you can! We love hearing your suggestions on social media.

How do you choose the guests you invite?

There are many factors that go into choosing which guests to invite. We unfortunately can’t invite every LGBTQ actress and every actress who has ever played an LGBTQ role on TV or film. We aim to bring a diverse group of talented actresses from some of the best current shows and films as well as some of our favorites from the past. We take into account which guests are popular and who attendees are asking for and try to balance that with who is available and able to attend.

If my fav isn’t announced is it safe to assume you didn’t invite them?

Not at all. Some guests aren’t announced until very close to the event. Some guests have been invited but are unable to attend for a variety of reasons, including prior engagements like weddings, birthdays and other family events. Some guests have been invited but cannot attend because of scheduling issues or may not be able to commit to attend until very close to the event because their work schedules are in flux. We can’t demand their time, especially if the studio needs them for filming or promotional events at or around the time of the convention. Guests also may choose not to attend for other reasons including the option of time off for self care, and taking time out of the spotlight which we absolutely support.

We invite many more guests than are able to attend. If your favorite isn’t scheduled to attend this year they might make it next time!

Why don’t you tell us when you’ve invited a guest and they can’t attend?

It’s important to us that we respect the privacy of guests so we are not able to disclose such information to the public.

Isn’t it true that you just hate my favorite guest and that’s why they aren’t coming to ClexaCon?

Definitely not! We’d love to have all of your favorites attend ClexaCon but there are many reasons why someone may not be able to attend any given year. (See previous questions for more details about why a guest may not be able to attend).

Why don’t you invite this really cool ally?

Allies are always welcome to attend and support our community and learn about ways to help improve representation for LGBTQ women, trans, non-binary and genderqueer people in media and entertainment. ClexaCon is a space to elevate the voices of those within our community and those creating media that represent our community so those are the guests that we want to keep the focus on. Allies who are creating content that highlights our community are welcome to join us to talk about that content.

Some men are listed as guests, why?

ClexaCon aims to celebrate LGBTQ+ women, trans, non-binary and genderqueer people. We also welcome cis men who are creating positive representation for our community or are directly involved in the shows/films/fandoms being featured at the event. We want to hear about how they are working as allies to create positive representation and we want to celebrate the work that they are doing that represents us.

Vendors and Artist Alley

How can I display my art in the Artist Alley?

Artist Alley applications open July 7th, 2018.

Can I be an exhibitor?

Exhibitor applications open July 7th, 2018.

​What am I paying for?

  • Each 10’ x 10’ booth will be set with 8′ high black back drape, 3′ high black side dividers, one 6′ draped table, two side chairs, one wastebasket.
  • Exhibitor tables consist of one 6′ draped table, two side chairs, one wastebasket.
  • Artist Alley Package consists of one 6′ draped table, two side chairs, one wastebasket.

Vendors and Artists will also receive:

  • Two (2) exclusive Vendor Badges, which will also give access to the convention for the main three days of the convention.
  • Entrance to extra events held at the convention will need to be purchased separately.

Do I have to take my items with me at night, or can I leave them at my table after the show closes?

We suggest covering up your table and before you leave for the night. We will have 24-hour security on the convention floor but ClexaCon is not responsible for stolen or damaged items.

What package would suit me best?

  • Artists are exhibiting items hand made or drawn by them. Prints are okay, as long as it is your own work.
  • Exhibitors are selling works that are mass-produced or made by other people.
  • If you are an exhibitor with a lot to sell or display, we would recommend a booth as it will provide you more storage space and display room.

Is WIFI free?

If you plan on accepting Debit or Credit cards, please be aware that WiFi is an extra charge within the Hotel and convention space.

Will someone need to be at my table/booth the entire time?

You are welcome to cover your space or place a sign saying you will be right back if you have to leave your space unattended. However it is recommended to have someone there when possible, ClexaCon is not responsible for stolen or damaged items.

What are exhibiting hours?

When is set up and tear down?

To be announced at a later date.

Do I have to exhibit the entire three days?

Of course not! Your package fee covers the entire three days, as does your entry to the convention, but you determine how much of those three days you exhibit.

What are the actual hours of the con?

To be announced at a later date.

Will there be food available?

We will have food and drink available to purchase within the convention space, as well as water coolers.

Will we have a special badge for entry?

Vendors and Artists will receive an exclusive badge, giving them access to the vendor area earlier for set up and also access to the Convention panels. You will be required to have bags checked upon entry to the Convention space.

Can we ship stuff?

You can ship to the hotel or any nearby Postal service, even a friend who lives locally. Please note that the venue may charge extra for shipping to them.

Can we use the loading dock?

We will make the loading dock available for Vendors and Artists. Nearer to the convention we will announce the time it will become available.

Do I need to be a registered business in NV? How do taxes work in Nevada?

You do not need to be registered to do business in Nevada to be a vendor at ClexaCon.  However, you will need to fill out at one-time sales tax return at the end of the convention as well as pay the estimated taxes owed (8.1% of all sales) to Nevada’s Department of Taxation.  Additional information and forms will be included in your vendor packet.

Can my table be next to my friend?

While we cannot guarantee it, if you have a specific spot you would like to be placed in, we will do our best to accommodate that.

Will we be listed in the program?

You will be listed in the program, as well as your table or booth location, if you sign up before March 1st, 2018.

Can I place an ad in the program?

Do you want to encourage people to stop by your space? Place an AD in the program. Please email [email protected] for pricing. Please note all ads will need to be purchased by March 1st to be included in the program.

Can I display adult material? 

You are welcome to sell adult-themed material; however, you must clearly mark these items with a warning cover. For example, artwork should be displayed in a discrete binder, properly labeled as adult material and not easily accessible to any minors. If you are displaying publicly, censor any areas that might be inappropriate for minors.

Will there be sponsors for ClexaCon?

Yes, the convention will have a multitude of corporate sponsors who openly support the LGBTQ community with their products, services, and presence.

Disability Assistance

Can I request assistance for ClexaCon 2019?

Yes, ClexaCon is for everyone. If you require assistance during the event, please fill in this form (check back soon for an updated link!). If you have any additional questions please email [email protected]

Will there be accommodations for those who require ASL interpreters?

If you require accommodations, please contact us at [email protected] or speak with a volunteer. We will accommodate all pre-convention requests and will do our best to accommodate all last-minute requests. There will be a seating area reserved for attendees requiring ASL services.

Do I get priority seating if I qualify?

Disability assistance does not grant priority seating. There is however a designated seating area for those requiring disability assistance. Our volunteers will be able to guide you to these areas.

Will I be able to skip lines?

Disability assistance does not allow a person to skip lines.

Will ClexaCon provide me an ASL interpreter during autograph signings, photographs, meals and/or meet and greets?

ClexaCon will only be able to provide ASL interpreters for featured panels and smaller panels upon request. ClexaCon will not be able to provide interpreters for autograph signings, photographs, meals and/or meet and greets. Requests for ASL interpreters must be received by March 1, 2019. We may not be able to accommodate requests received after March 1, 2019.

Is there wheelchair accessible seating?

Yes. Each panel room as areas assigned for attendees who require wheelchair accessible seating. Please let a volunteer know if you require seating in this area.

Do I need a VIP pass to skip lines?

VIP pass holders do not get to skip lines. However, there will be separate lines for panels, autographs and photo ops for VIP pass holders.

I have mobility issues that prevent me from standing for long periods of time. What accommodations can you provide for me?

If you cannot stand in line for long periods of time, we allow the use of wheelchairs and small, compact folding chairs while standing in line. We encourage you to bring your own seating, and for convenience a limited amount will be available at the con on a first come, first serve basis.
