Accessibility Services Policy – ClexaCon 2019 – Updated 3/4/19

Our new Accessibility Services Policy has been developed directly in response to the concerns and feedback we received about our previous policy. We realize that our previous policy did a poor job of communicating our intent and that there were accessibility needs that were not fully considered, and for that we sincerely apologize. Our goal is to create an accessible convention that is a welcoming place for all attendees, and we hope the changes we’ve made reflect that. This policy is a living document that we intend to update and adjust to ensure that we are always doing our best to provide accessible services at ClexaCon. Thank you for your patience and understanding, and for holding us accountable and challenging us to be better.

Pre-Registration

If you plan to attend ClexaCon please contact us in advance to let us know what your access needs are and how we can best assist you. If you let us know your needs and concerns ahead of time, we are better able to work with you to provide the best possible accessibility services. Please contact [email protected].

Checking in at ClexaCon / Registration

Please check in at the registration desk when you arrive. Once you check in you will receive a sticker based on the access needs you require. The sticker should remain visible on your convention badge at all times to ensure that staff and volunteers are aware of your needs and are able to best support you.

Seating

There will be designated accessible seating in all panel rooms for those who

  • Utilize wheelchairs and scooters or other mobility devices
  • Require ASL services or are hard of hearing
  • Are blind or have visual impairments
  • Are accompanied by a service animal

If you are attending a main stage panel, please use the Accessibility Services Entry line, as this will allow you access to the accessible seating areas.  Please show your badge with your accessibility sticker to the volunteer at the door and they will show you to the appropriate seating area. If you require seating for a companion, please let the volunteer know and they will make arrangements so that you are seated together.  If you have more than one companion, we cannot guarantee seating for everyone, but will do our best to seat your party together based on available seating after everyone in the Accessibility Services Entry line has been seated.

At smaller panels there is no dedicated line, so please show the door volunteer your badge for early access.

ASL Services

We will have ASL interpreters available by request for any panels, workshops, meet & greets, autographs, photo ops and the comedy night and celebrity breakfast.

If you require ASL services please contact us three weeks before the event so that we can best plan for your needs. If you do not let us know in advance we will do our best to provide interpreters for last minute requests but letting us know in ahead of time helps us plan so that we can have enough ASL interpreters to meet everyone’s needs.  When you check in you will be asked for a way to contact you during the convention so that an ASL interpreter can confirm the panels and events you plan to attend.

Individuals with Other Mobility Access Needs

If you are unable to stand in line for long periods, there will be seating available near the entrance to the main panel room. When you arrive at the main panel room line, please show your badge with your accessibility sticker to the line volunteer who will note your place in line so that your place is saved. The volunteer will then direct you to the seating area. Once the panel room is opened for general seating you will be able to enter the room at the point in line that you would have been standing.  If all allocated seating outside the panel room is being used, please let a volunteer know that you require a seat and they will locate additional seating.

If you wish to wait in line with your party but cannot stand for long periods, we will have a limited amount of seat canes available for loan from the registration desk on a first come, first serve basis. These seats are lightweight and will allow you to sit while waiting in line. There is a fully refundable deposit or guarantee required to borrow a seat but no rental fees. The seats can be borrowed for the whole convention, for a day or just for a panel and also function as a cane while walking. If you are unable to carry one of these cane seats we suggest utilizing the regular chairs by the panel entrance.

If you are recovering from an injury or have an invisible disability that limits your mobility you are encouraged to request a sticker at registration and to utilize the seats by the panel room entrance or borrow a cane seat.

Please keep in mind that all panels are first come, first serve. We will do our best to accommodate your needs in the panel room but cannot guarantee space if a panel room is already full to capacity when you arrive.

There will be seating at various locations throughout the convention that can be utilized throughout the day for those who need them. If at any point you require a chair and cannot find one, please speak to the nearest volunteer who can direct you to the nearest seating or arrange to bring you a seat if needed.

Photos Ops and Autographs

Please show your badge with your accessibility sticker to a line volunteer, who will make arrangements to limit your wait time.  These arrangements may include holding your place in line and directing you to a designated waiting area, moving you forward in line, or arranging a mutually agreeable time for you to return. We will do our best to help you avoid standing in line.

Quiet Space

There will be a quiet room available during all convention hours. Please see the convention map or ask a volunteer to direct you to the room. If you are in the quiet room, please keep all noise to a minimum for the benefit of everyone who wishes to utilize the room. There will be a water cooler as well as chairs and tables in the room.

Service Animals

We welcome service animals at ClexaCon.  The ADA defines service animals as dogs that are individually trained to do work or perform tasks for people with disabilities.  Examples of such work or tasks include guiding people who are blind, alerting people who are deaf, pulling a wheelchair, alerting and protecting a person who is having a seizure, reminding a person with mental illness to take prescribed medications, calming a person with Post Traumatic Stress Disorder (PTSD) during an anxiety attack, or performing other duties. Service animals are working animals, not pets. The work or task a dog has been trained to provide must be directly related to the person’s disability. Dogs whose sole function is to provide comfort or emotional support do not qualify as service animals under the ADA.  All service animals must be under the control of its owner at all times and be housebroken. Miniature horses who qualify as service animals are also welcome.
